1. Acceptance of Terms
By accessing or using the VettedAppointments website and services at vettedappointments.com, you ("Client", "you", "your") agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not access or use our services. These Terms constitute a legally binding agreement between you and VettedAppointments ("Company", "we", "us", "our").
By using our services, you represent that you are at least 18 years old and have the legal authority to enter into this agreement. If you are using our services on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
2. Description of Service
VettedAppointments provides executive search candidate outreach and appointment booking services for retained search firms. Our service includes:
- Candidate research and list building: identifying and verifying C-suite and senior leadership candidates based on your ICP (Ideal Candidate Profile).
- Multi-channel outreach: personalized email and LinkedIn outreach to qualified candidates on your behalf, conducted in compliance with applicable laws including GDPR and CAN-SPAM.
- Appointment scheduling: coordinating and booking qualified candidate conversations directly onto your calendar.
- Briefing preparation: providing pre-call briefing notes so your team arrives prepared for every conversation.
Our service is designed to supplement — not replace — your internal recruiting team's efforts. We are not an employment agency and do not directly hire or place candidates.
3. User Obligations
When using VettedAppointments services, you agree to:
- Provide accurate information: all information you provide about your firm, open positions, target candidate profiles, and business requirements must be accurate and complete.
- Use services lawfully: you will use our services only for lawful executive search activities and in compliance with all applicable local, national, and international laws, including data protection regulations (GDPR, CCPA) and anti-spam laws (CAN-SPAM, CASL).
- Respect candidate privacy: you acknowledge that candidate data provided through our service is subject to data protection laws and agree to handle such data in compliance with all applicable regulations.
- Provide timely feedback: to maintain service quality, you agree to provide feedback on candidates within 5 business days of receiving a briefing to help us refine future outreach.
- Maintain account security: you are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
- Not misuse our services: you will not use our services for any fraudulent, deceptive, or unlawful purpose, or to contact candidates for any purpose other than legitimate executive search engagement.
4. Pricing and Payment Terms
VettedAppointments offers the following pricing tiers:

All prices are in US Dollars (USD) and are exclusive of applicable taxes. Payment terms are as follows:
- Monthly billing: subscription plans are billed monthly in advance. Your subscription begins on the date you sign up and renews automatically each month on the same date.
- Setup fees: one-time setup fees are charged at the beginning of your subscription and are non-refundable after the onboarding session has been completed.
- Payment methods: we accept major credit cards (Visa, Mastercard, American Express) and bank transfers. All payments are processed securely through our third-party payment provider.
- Late payments: if a payment fails, we will notify you and attempt to retry the charge. Accounts with failed payments for more than 14 days may be suspended until payment is received.
- Price changes: we reserve the right to change pricing with 30 days advance notice. Price changes will apply to the next billing cycle following the notice period.
5. Intellectual Property
All intellectual property rights in the VettedAppointments service, including but not limited to our website, software, methodology, outreach templates, briefing frameworks, and branding, are owned by VettedAppointments or our licensors. You receive a limited, non-exclusive, non-transferable license to use our services for your own executive search activities during the term of your subscription.
You retain all rights to the candidate data and information you provide to us. We retain rights to anonymized, aggregated insights derived from your use of the service. You may not copy, modify, distribute, sell, or lease any part of our services without prior written consent.
You agree not to use our name, logo, or branding without our prior written permission. Any feedback, suggestions, or ideas you provide about our services become our property without compensation or attribution.
6. Limitation of Liability
To the maximum extent permitted by law, VettedAppointments and its officers, directors, employees, agents, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, use, goodwill, or other intangible losses, arising out of or related to your use of (or inability to use) our services.
Our total cumulative liability for any claims arising out of or related to these Terms or our services shall not exceed the total fees paid by you to VettedAppointments in the twelve (12) months immediately preceding the event that gave rise to the claim.
We do not guarantee that our services will result in any specific number of placements, hires, or business outcomes. Results depend on many factors outside our control, including market conditions, candidate availability, and your internal hiring processes.
7. Indemnification
You agree to indemnify, defend, and hold harmless VettedAppointments and its officers, directors, employees, agents, and affiliates from and against any and all claims, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or related to:
- Your violation of these Terms or any applicable law.
- Your misuse of our services or candidate data provided through our service.
- Any claims by third parties related to your use of candidate data in violation of applicable data protection laws.
- Your conduct in connection with outreach activities conducted on your behalf.
8. Termination
You may terminate your subscription at any time through your account settings or by contacting us at [email protected]. Terminations take effect at the end of your current billing period. We do not provide refunds for partial months.
We may terminate or suspend your access to our services immediately, without prior notice or liability, for any reason, including if you breach these Terms. Upon termination:
- Your subscription will end at the conclusion of the current billing period.
- All data associated with your account will be retained in accordance with our data retention policy andPrivacy Policy.
- Any outstanding fees owed to us become immediately due.
- Your license to use our services immediately ceases.
We reserve the right to terminate or refuse service to any client at our sole discretion, including clients engaged in fraudulent activity, spam, or any use of our services that violates applicable law.
9. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to its conflict of law provisions. Any disputes arising from these Terms or your use of our services shall be subject to the exclusive jurisdiction of the courts located in the United States.
If you are located outside the United States, you acknowledge that any personal data you provide to us is transferred to and processed in the United States, which may have different data protection laws than your country of residence.
10. Dispute Resolution
Before initiating formal dispute resolution, you agree to first contact us at [email protected] to attempt to resolve any dispute informally. We will attempt to resolve the dispute within 30 days of receiving your notice.
If informal resolution is unsuccessful, any dispute, claim, or controversy arising out of or relating to these Terms shall be resolved through binding arbitration administered by a recognized arbitration body in the United States. The arbitration shall be conducted in English, and the arbitrator's decision shall be final and binding.
You agree that any arbitration or lawsuit will be conducted on an individual basis only — class action lawsuits and class arbitrations are not permitted. You waive any right to participate in a class action or consolidated arbitration proceeding against VettedAppointments.
11. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions of these Terms shall remain in full force and effect.
12. Changes to These Terms
We may update these Terms from time to time to reflect changes in our services, legal requirements, or operational practices. When we make material changes, we will:
- Post the updated Terms on this page with a revised "Last updated" date.
- Notify existing clients via email at least 30 days before the changes take effect.
- Update the "Last updated" date at the top of this policy.
Your continued use of our services after the effective date of any changes constitutes acceptance of the updated Terms. If you do not agree to the changes, you must terminate your subscription before the changes take effect.
